What payment reconciliation is

Reconciling means comparing what happened to the money (ins and outs) with what your system expected to happen. Every collection, every payout and every fee needs a matching, traceable entry.

Without reconciliation, you don't know for sure how much you have, how much you owe, or where an amount went missing.

Why it gets hard at scale

With dozens of transactions a day, a spreadsheet works. With thousands, it doesn't: a refund here, a fee there, a payment that landed twice — and the books don't close. Finding the difference by hand becomes hours of work.

Double-entry: the accounting standard

The double-entry method records every operation on two sides that must balance. It's the same principle as serious accounting: for every debit there is a credit. This makes it impossible for an amount to "vanish" without a trace.

Applied to payments, each order generates entries that can be audited individually — you reconcile per order, not per batch.
